The accuracy of that quote — and whether the price changes between booking and collection day — depends almost entirely on what was captured and communicated at the survey stage. Understanding what a survey involves and how to prepare for it is one of the most practical things you can do before a move.
What a Removal Survey Is
A removal survey is an assessment carried out by a consultant, either in person or by video call, to establish the volume of goods being moved, any access constraints at collection or delivery, and whether any items require specialist handling. It differs from an online quote tool, which produces an estimate based on generic inputs. A survey produces a specific scope that the removal company commits to — the basis of a fixed price.
Video Survey vs In-Person Survey
Video surveys work well for most moves. You walk the consultant through every room, pointing out what is going and what is not. The consultant can ask questions in real time, request close-ups of specialist items, and note access details at the collection property.
In-person surveys are more appropriate for larger moves — a five-bedroom house, for instance — or moves involving significant specialist items (a grand piano, a large art collection, a wine cellar). They are also useful when access at the collection property is unusual and difficult to convey via video. If you are unsure which applies, ask the company. They will usually advise.
Before the Survey — How to Prepare
Go through every room in advance
Include spaces that are easy to forget: the attic, loft, outbuildings, garage, and any items in external storage. Make a note of what is going and what is not. You do not need a precise list, but knowing “the sofa stays, the dining table comes” saves time during the assessment and avoids items being included or excluded incorrectly.
Identify items that need special mention
Fragile or valuable items, bulky pieces that may have access difficulties, anything oversized. If you are uncertain whether something needs specialist handling — a large piece of art, a home gym setup, built-in wardrobes that need dismantling — flag it during the survey. That is exactly the conversation the survey is designed to have.
Decide what is not coming
The survey is more accurate if the decisions are already made. Items you are selling, donating, or leaving behind should ideally not be in the rooms during assessment. If that is not possible, be explicit with the surveyor about what is and is not included.
What to Tell Them About the Delivery Property
Access constraints
If you know the delivery address, share what you know about access: floor level, lift availability, off-street parking for a large vehicle, any known restrictions (narrow streets, restricted vehicle zones, building rules about moving hours). If you are moving to a European city, mention it specifically. Delivery logistics in central Paris, Amsterdam, or Barcelona are different from suburban deliveries and an experienced surveyor will factor this in.
If you do not have a delivery address yet
This does not prevent the survey. Volume and collection-side logistics can be assessed without a delivery address. The destination details can be added once confirmed. Tell the surveyor what country and approximate area you are moving to — it is enough for the initial assessment.
Questions Worth Asking During the Survey
How is customs documentation handled — in-house by your own team, or through a third-party agent? What does the fixed price include and exclude — specifically packing materials, customs fees, and storage if dates do not align? What is the single-item limit on transit insurance, and does professional equipment need to be declared separately? Is there a named contact who will manage your move from survey to delivery?
After the Survey
You should receive a written quote within a few working days. Read it carefully before accepting. It should reflect everything discussed during the survey. If items you flagged are not mentioned, or if access considerations you raised are not reflected in the price, query it before signing. A quote that does not capture your actual requirements will either lead to a price change later, or to surprises on collection day.
Common Mistakes to Avoid
Not showing the full scope: if the surveyor does not see the garage, the garage will not be in the quote. Not disclosing access issues at the delivery property, particularly for properties in historic city centres. Not asking about customs — for any international move, customs documentation is a significant part of the service, and understanding how it is handled should be part of the survey conversation.
Monitors, desk accessories, peripherals, ergonomic chairs, and sit-stand desk frames all ship well with a removal company. These items are bulky, relatively durable when packed correctly, and awkward to bring on a flight.
